Executive command center, one place to run the business.

Leadership runs the business from one place: budget vs. actual, denials, nightly order-to-cash reconciliation and live dispatch. Used every day to make decisions.

Leadership · Cloudflare · QuickBooks · Square · Plaid

15 min → 3 sA financial health check
2-4 hrs → 3 sBudget vs. actual
3 → 1Tools needed to run dispatch
2 min → 3 sChecking the sales pipeline

The problem

Cash lived in the bank, the books lagged in QuickBooks, sales lived in a spreadsheet, and dispatch took three tools and some mental math. Checking the company's financial health took 15 to 20 minutes, and budget vs. actual took hours, so it was rarely done.

What I built

A command center on Cloudflare Workers, pulling live data from Square, Expensify and Plaid alongside QuickBooks, behind Zero Trust and two-factor sign-in.

  • Cash position with a two-week forecast and a health score
  • Budget vs. actual, with every account mapped and none unmatched
  • A/R aging by bucket and payer type, and a denials board
  • Sales pipeline and facilities ordering without an account
  • Live dispatch: vehicle locations, technician utilization against breakeven, and weather radar for storm-aware routing

What changed

Leadership checks the business in seconds instead of rebuilding the picture from four systems. Budget vs. actual went from rarely done to always on, so overruns show up while there is still time to act.

Safeguards

  • Role-based access at the API layer: the dispatch role can't reach financial data
  • Dispatch shows only a city, ZIP or facility, never a patient name
  • Totals are checked against their source systems, and checks assert on content, not just on a successful response

How I built it

With my agentic team: specs first, tests that verify the numbers reconcile to their source, and a human review before anything ships. When the dispatch map moved off a legacy vendor, it was rebuilt de-identified on a BAA-covered cloud. HIPAA is part of the design: patient data minimized, access role-based at the API layer, and a person reviews before anything goes live.

One of six systems I built at X-Ray Mobile Texas, my family's mobile diagnostics company, during its turnaround. Shared with the owners' permission; patient, staff, client and vendor details are withheld. More operational case studies from my practice are at actional.us.
